How Øyvind from Uniflex Bemanning turned ten calls on availability into a couple of clicks with Globus

Meet this month’s Globus Hero: Øyvind Rogdeberg, Department manager at Uniflex Bemanning. He receives this award because of his outstanding contribution to adapting Globus to Uniflex’s needs, as well as the speed with which he integrated Globus into his daily workflows. In this interview we chat to Øyvind about his work with Globus.ai.  

Alisa: This month you’ve been selected as a Globus Hero, congratulations! We’ve been very impressed with how quickly you got up to speed with the Globus system, how you’ve partnered with us to adapt it to your needs, and your work in improving the data in RecMan (a CRM) to ensure seamless integration with Globus.  

Øyvind: Thank you.  

Alisa: Could you tell us about yourself, your background and role at Uniflex?

Øyvind: I have quite a varied background, with a bachelor’s degree in hotel management. I also studied some HR and law at different universities. This varied experience helps me in my current role as a business unit manager at Uniflex. I specifically work with the Stavanger unit, where we don’t work directly with the energy companies based there, but the supply companies for those energy companies. Our personnel work mostly in maintenance for them, so on things like scaffolding, painting, electrics, mechanics and isolation. They are specialists and 90% of the work is offshore-related, so that brings about some unique challenges.

That’s where Globus is a tremendous help because our personnel are hired for short projects, short stints of about two weeks at a time. When they return to shore they want to know what they’re working on next. Globus helps me plan and deliver the next trip for them, faster. It saves me time, delivers a better experience for our people, and I also can see availability quickly without having to phone around everybody.  

Alisa: What would you say are the major differences between your industry and other sectors like education or healthcare?

Øyvind: The main difference is timings. In our Oslo department, projects are longer (six months on average). They use contracts, they place someone and then that candidate isn’t available again for six months. Meanwhile, we work on one to two week-long projects, we have to coordinate constantly. We’re in contact with our candidates almost daily to plan their next project and our clients are calling us constantly with new projects to find people for.  

Alisa: That’s fascinating! So when did you first discover Globus.ai and begin using our staffing platform?

Øyvind: I believe we began using Globus in November 2021. We found out about it in the summer, and I was excited from the start. It felt like a tool I really needed to have to improve my work routines. From the moment we implemented it, Globus was really easy to use. Training from the team was brilliant, but the interface was very intuitive, so that helped a lot.  

I also found the Globus.ai team very easy to communicate and work with. At the start, we were meeting once a week, but now this has become once every two weeks because everything is running smoothly. When I had ideas for new features, I found the team to be really responsive.  

Alisa: Could you describe your daily routine using Globus?

Øyvind: Currently, my clients email me details of a new job and its requirements. I quickly add the the details into the system. Then I send the details to the most suitable candidates I know are available, and usually they answer pretty quickly. I send an availability message out every other month to stay updated on who is available and who isn’t, and that updates in Globus so I can see at-a-glance who is ready to work. In the future we’re going to ask our clients to log onto the system directly and put in their job order to save even more time.

I had to spend a bit of time ‘training’ my candidates to respond via the Globus tool instead of phoning me directly as that was what they were used to. Now, they click on a link in a text message to quickly tell me if they are interested or not. It makes the staffing process faster and easier for me to plan.  

Alisa: What would you say are your top three benefits of using Globus?

Øyvind: Firstly, I’d say the time savings that I’ve made. I no longer need to call ten people to staff a project. Instead, I send out the details with just a couple of clicks and then when people reply I can easily see who can do the work.  

Secondly, the overview of orders. It’s much easier to see everything I need to know at a glance. I can see a job status, if it has been shared with candidates yet, and if a project has been staffed.  

Finally, the availability feature allows me to only contact candidates I know are available to work.  

Alisa: Finally, my last question, would you like to go back to how it was before you implemented Globus? 

Øyvind: Definitely not! If I moved to a new company and role, for example, and they didn’t have Globus, I would quickly recommend that they get it. It really has been transformational in saving me time — I don’t think there are any other systems like it actually. It also gives us a competitive edge because our clients are sending out requests to a lot of businesses simultaneously. We are the fastest to find suitable candidates, more regularly.
